Elegant Tented Wedding in Newtown, CT

As a company that specializes in planning outdoor weddings, we were thrilled when a recent client in Newtown, CT reached out for our help. From booking the essentials like a tent, dance floor, tables, and chairs, to coordinating with their other vendors, our team worked closely with the couple to bring their backyard wedding vision to life. Though the couple initially worried they were behind on securing some of their other vendors, Porchlight was able to take the lead in fully planning this event.

Despite not booking a commercial venue, the couple required comprehensive venue design and coordination services. Using the latest software, we drafted a detailed design concept that laid out the setup of tables, chairs, and dance floor under a spacious tent. Initially, we booked them a 30’x60′ frame tent from PartyPlus. However, thanks to our great partnership with the vendor, we were able to negotiate a larger tent at a reduced cost, freeing up more of the client’s budget for other vendors.

Organizing a ‘backyard’ wedding often requires additional logistical support, such as portable restrooms. In this case, we helped the client book Loo Haven for their event and were able to negotiate an upgrade to a three-stall restroom trailer for the same price as a two-stall unit.

After consulting with the client, we presented them with a variety of catering options for their wedding, including plated, stations, buffet-style, and drop catering. To help them make their decision, we reserved a complimentary tasting with Kelli’s Kitchen, one of our preferred catering partners. Thanks to a special promotion, the couple was able to attend the tasting free of charge. Ultimately, the couple decided to book Kelli’s Kitchen for their wedding catering.

The couple booked their remaining vendors wisely. We helped them book our friend Chris “DJ DopeGod” Knighton of MNE Events, who is always reliable, to provide the music and audio-production for their ceremony, whom they had a friend officiate. They opted to hire their own bartenders and photographer. Once we had the vendors booked, we had the opportunity to guide the client through the rest of their event planning checklist. We helped them develop a timeline, order decorations, and handle other to-dos. Our consultation continued up until the start of the event setup days.

The set-up for the event was a three-day process, complicated by an off-season Nor’Easter that brought rain. On day one, PartyPlus delivered the tables, chairs, tent, and dance floor. The plan was for the Porchlight crew to handle the lighting and decorations the following day, but we were delayed due to the storm. However, the team was able to complete the full set-up by day three, which was also the day of the event. Due to rain in the forecast for the day-of, we had PartyPlus install tent sides last-minute.

On the day-of, rain was spotty but when it stopped, the skies were absolutely beautiful. Sunshine arrived just in time for the ceremony. Our crew quickly dried seats before guests were seated. The ceremony went off without a hitch, minus a few lingering rain-drops!

The rest of the event was perfect- and we received compliments about the decorations and the seamless coordination. Several guests said it was the best wedding they’ve ever attended. Here’s some pictures we took!

“Brian at Porchlight is our savior! Seriously if you’re attempting wedding/event planning on your own just look into this company. They made the process so easy and so much less expensive. I’m not one to promote stuff… but everyone deserves to hear about these guys. Hidden gems!”
